Terms of Service

These Terms of Service ("Terms") govern your access to and use of AeroInvoice's website (aeroinvoicing.com), web application, and mobile applications (collectively, the "Service"), operated by AeroInvoice ("AeroInvoice," "we," "us," or "our"). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

1. Eligibility & Accounts

You must be at least 18 years old, or the age of majority in your jurisdiction, to create an account. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify us immediately of any unauthorized use.

2. The Service

AeroInvoice provides tools for contractors and small businesses to create invoices and estimates, manage clients and projects, track expenses, time, and mileage, and organize business documents. Optional bank and card feeds, which are coming soon and not yet available, will be provided through Plaid, who will connect to your financial institution on your behalf, and customer card and bank payments on your invoices are processed by Stripe. Receipt matching and the payment, deposit, and expense entries you record yourself are record-keeping tools: they do not move money, and the figures in them are only as accurate as the data you or your connected accounts supply. AeroInvoice is not a payment processor, bank, or money transmitter, and does not guarantee that any invoice will be paid. You are responsible for verifying that any payment you record as "received" was actually received through a legitimate channel before relying on that record for accounting or tax purposes.

3. Subscriptions & Billing

  • AeroInvoice offers a Free plan and paid Pro ($15/month) and Business ($29/month) plans, as described on our Pricing page.
  • Paid subscriptions are billed through Stripe, our payment processor. Your card details are entered directly into Stripe's secure checkout page and are never received or stored by AeroInvoice.
  • Subscriptions renew automatically at the end of each billing period until cancelled.
  • To cancel a subscription, email support@aeroinvoicing.com. Your plan remains active through the end of the current billing period, and you will not be charged again.
  • We may change subscription pricing or plan features with reasonable notice; continued use after a price change constitutes acceptance of the new price at your next renewal.

4. Refunds & Cancellation

If you are unhappy with a charge, contact support@aeroinvoicing.com within 3 days of the charge date and we will issue a full refund. Requests made after 3 days are not eligible for a refund. Cancelling your subscription on its own stops future billing but does not refund the current billing period — email us within the 3-day window if you want that period refunded too.

5. Your Content

You retain ownership of the business data, client information, documents, and files you create or upload through the Service ("Your Content"). You grant AeroInvoice a limited license to host, store, process, and display Your Content solely as necessary to operate and provide the Service to you. You are solely responsible for the accuracy, legality, and appropriateness of Your Content, including ensuring you have the right to store any client or customer personal information you enter.

6. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose, including fraud, money laundering, or issuing invoices for goods or services you do not intend to provide
  • Attempt to reverse-engineer, decompile, or gain unauthorized access to the Service or its underlying systems
  • Upload malicious code or attempt to disrupt the Service's operation
  • Present a payment, deposit, or balance that you entered manually to your own clients or customers as a payment processed or verified by AeroInvoice, Stripe, or your bank
  • Use the Service to harass, defraud, or store data on individuals without a lawful basis for doing so

We reserve the right to suspend or terminate accounts that violate these Terms.

7. AI-Assisted Features

Certain features use third-party AI models (such as Google's Gemini API) to generate suggested content — for example, scope-of-work line items, logos, or slogans. AI-generated output may be inaccurate, incomplete, or unsuitable for your specific job or jurisdiction. You are responsible for reviewing and verifying any AI-generated content, including pricing, legal terms, or scope language, before sending it to a client.

8. Intellectual Property

The Service, including its software, design, templates, and branding, is owned by AeroInvoice and protected by intellectual property laws. Except for Your Content, nothing in these Terms grants you any rights to AeroInvoice's trademarks, logos, or proprietary technology.

9. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate your access to the Service if you violate these Terms, if required by law, or if we discontinue the Service, with notice where reasonably practicable. Upon termination, your right to use the Service ends immediately; certain data may be retained as described in our Privacy Policy.

10. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. AEROINVOICE DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT ANY AI-GENERATED OR CALCULATED CONTENT (INCLUDING PRICING, TAX, OR MARGIN CALCULATIONS) IS ACCURATE. YOU ARE RESPONSIBLE FOR INDEPENDENTLY VERIFYING FINANCIAL, TAX, AND LEGAL INFORMATION BEFORE RELYING ON IT.

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, AEROINVOICE AND ITS OWNERS, EMPLOYEES, AND SERVICE PROVIDERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR BUSINESS OPPORTUNITY, ARISING FROM YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM ARISING FROM THESE TERMS OR THE SERVICE WILL NOT EXCEED THE AMOUNT YOU PAID TO AEROINVOICE IN THE 12 MONTHS PRECEDING THE CLAIM, OR $50 IF YOU ARE ON THE FREE PLAN.

12. Indemnification

You agree to indemnify and hold AeroInvoice harmless from any claims, damages, or expenses (including reasonable legal fees) arising from your use of the Service, Your Content, or your violation of these Terms or applicable law.

13. Changes to These Terms

We may update these Terms from time to time. We will update the "Last updated" date above when we do, and will provide notice of material changes through the Service. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

14. Governing Law

These Terms are governed by the laws of the jurisdiction in which AeroInvoice is established, without regard to conflict-of-law principles, unless otherwise required by applicable consumer protection law in your jurisdiction.
